Three registers

The company is registered at Companies House for three activities. They are not marketing categories — they are what the register says, and each one is a different relationship to a building.

Held on our own account

Freehold and leasehold interests acquired by the company and carried in its own name. Acquisition means title, searches, surveys and the transfer of every standing obligation attached to the building. Disposal means the same work, read backwards.

Let and operated

Occupancy of what the company holds: agreements drawn and kept, access granted and withdrawn on record, condition observed in writing rather than remembered, and the building kept working while somebody lives or trades in it.

Managed under instruction

The same discipline applied to buildings the company does not own. The owner keeps the asset and the decisions; the company keeps the calendar, the contractors, the certificates and the written record of what was done and when.

The standing year

Property work is not a queue of requests; most of it is known a year ahead. These are the rounds that come back whether or not anyone asks for them. Step through the quarters.

The cold quarter

  • Fabric after frost. Roof coverings, gutters, downpipes and external rendering looked at while the damage of a wet winter is still visible.
  • Fire doors. The communal round — closers, gaps, intumescent seals and signage — recorded door by door.
  • Gas safety. Appliance and flue checks for every certificate whose twelve months expire in the quarter, booked before the expiry rather than after it.
  • The file closed and re-opened. The management record for the year is reconciled and filed, and the next calendar is issued to every contractor.

A handover, itemised

Beginnings and endings are where property disputes are made. Both ends of an occupancy are handled as the same list, performed twice.

    Access. Every key, fob and code accounted for by number, and anything that cannot be accounted for changed.

    Certificates. Gas, electrical installation and energy performance handed over as documents, with their expiry dates put into the calendar.

  3. 03

    Meters. Readings taken and photographed at the meter, with serial numbers, so that no supplier account opens on an estimate.

  4. 04

    Inventory and condition. A schedule of what is there and what state it is in, signed by both sides and photographed throughout.

  5. 05

    Operation. Manuals and settings for the boiler, controls, alarms and anything else the next occupier is expected to use correctly.

  6. 06

    Contacts. Who to reach out of hours, and for what — written down and left in the property rather than promised.

One written route, so that nothing depends on who happened to answer. Write to the company and the message becomes the start of the file.
